Terms of Service

These terms are a contract between you and Trovve, Inc. They govern your use of the Trovve application and related services. By creating an account or using Trovve, you agree to these terms. If you don't agree, don't use the service.


What Trovve is

Trovve is a work management application for service firms that integrates with Microsoft 365. It helps teams organize tasks, projects, clients, and files inside the tools they already use — Outlook, Teams, and SharePoint.

Trovve is available as:

  • A Microsoft Teams app — install directly from Microsoft Teams or the Microsoft AppSource store

Trovve is not a replacement for Microsoft 365. It requires an active Microsoft 365 Business subscription to function.


Your account

To use Trovve, you must:

  • Have a valid Microsoft 365 Business subscription (Business Basic or higher)
  • Sign in using your Microsoft 365 account through Microsoft Entra ID
  • Be at least 18 years old

You are responsible for:

  • All activity that occurs under your account
  • Maintaining the security of your Microsoft 365 credentials
  • Ensuring that anyone you invite to your Trovve workspace complies with these terms

You may invite team members to your workspace. Each team member who accesses Trovve requires a paid seat after the trial period ends.

If you are accepting these terms on behalf of a company or organization, you represent that you have the authority to bind that entity to these terms.


Free trial

New accounts receive a 14-day free trial with full access to all features.

  • No credit card is required to start a trial
  • All features are available during the trial with no limitations
  • After 14 days, your account switches to read-only mode — you can view everything you created but cannot create new projects, tasks, or clients
  • Your data is preserved in read-only mode indefinitely (subject to the data retention policy in our Privacy & Security page)
  • You can upgrade to a paid subscription at any time to restore full access

Pricing and payment

Trovve is priced per user per month. Current pricing is listed at trovve.com/pricing.

Monthly subscriptions:

  • Billed monthly on the anniversary of your subscription start date
  • You can add or remove users at any time — billing adjusts automatically on the next billing cycle
  • Cancel anytime — your subscription remains active until the end of the current billing period

Annual subscriptions:

  • Billed once per year at a discounted rate
  • You can add users during the year — additional users are billed monthly at the annual per-user rate
  • Refunds for annual subscriptions are not provided for unused months after the first 30 days

Payment processing:

  • All payments are processed by Stripe
  • Trovve never sees, stores, or has access to your credit card or bank account information
  • Stripe is PCI DSS Level 1 certified — the highest level of payment security certification

Price changes:

  • Trovve reserves the right to change pricing
  • Existing customers will receive at least 30 days written notice before any price change takes effect
  • If you don't agree with a price change, you may cancel before the new pricing applies

Setup and automation services

Trovve offers optional setup and automation services where our team configures Trovve for your specific workflows. These services are scoped and priced on a per-engagement basis, discussed during a setup call.

  • Setup services are a one-time engagement unless otherwise agreed
  • Custom templates, automations, and workflows built during setup are owned by you and remain in your Trovve workspace
  • Power Automate flows created during setup run within your Microsoft 365 tenant and are governed by your Microsoft agreement
  • Trovve does not guarantee specific business outcomes from automation configurations

Your data and content

You own your data. Trovve does not claim any ownership or intellectual property rights over the content you create, upload, or manage through the service.

  • Tasks, projects, client records, and other data created in Trovve belong to you
  • Files stored in SharePoint and OneDrive remain in your Microsoft 365 environment and are governed by your Microsoft agreement — Trovve does not copy, move, or independently store these files
  • You are responsible for the content you create and share through Trovve
  • You grant Trovve a limited license to host, display, and transmit your data solely for the purpose of providing the service to you

Acceptable use

You agree not to:

  • Use Trovve to store, transmit, or distribute malicious software, viruses, or harmful code
  • Attempt to gain unauthorized access to other users' data, accounts, or Trovve's systems
  • Use automated scripts, bots, or scrapers to access or extract data from Trovve without permission
  • Use Trovve in violation of any applicable local, state, national, or international law
  • Use Trovve to harass, abuse, or harm others
  • Resell, sublicense, or redistribute access to Trovve without written permission from Trovve, Inc.
  • Interfere with or disrupt the service, servers, or networks connected to Trovve
  • Reverse engineer, decompile, or disassemble any part of the Trovve application

Trovve reserves the right to suspend or terminate accounts that violate these terms, with or without notice.


Intellectual property

The Trovve application, including its design, code, features, documentation, and branding, is owned by Trovve, Inc. and protected by copyright and intellectual property laws.

  • You may not copy, modify, or distribute any part of the Trovve application
  • The Trovve name, logo, and brand marks may not be used without written permission
  • Feedback, suggestions, or feature requests you submit may be used by Trovve to improve the service without obligation or compensation

Third-party services

Trovve integrates with third-party services including Microsoft 365, Microsoft Azure, Stripe, and Microsoft Power Automate. Your use of these services is governed by their respective terms and privacy policies.

  • Microsoft 365 — governed by your Microsoft Customer Agreement
  • Stripe — governed by Stripe's Terms of Service
  • Power Automate — governed by your Microsoft agreement

Trovve is not responsible for the availability, security, or performance of third-party services. If a third-party service experiences downtime or changes its terms, Trovve is not liable for resulting disruptions to your use of the Trovve application.


Service availability

Trovve aims for 99.9% uptime but does not guarantee uninterrupted or error-free service.

  • Scheduled maintenance will be communicated in advance when possible
  • Trovve is not liable for downtime caused by Microsoft 365, Azure, or other third-party service outages
  • Trovve is not liable for downtime caused by events beyond our reasonable control, including natural disasters, power outages, or internet infrastructure failures

We do our best to keep the service running. When issues arise, we work to resolve them quickly and communicate transparently.


Limitation of liability

Trovve is provided "as is" and "as available" without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

To the maximum extent permitted by applicable law:

  • Trovve, Inc. shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the service
  • This includes but is not limited to loss of data, loss of revenue, loss of business, or interruption of business
  • Trovve's total aggregate liability for any claims arising from or related to the service shall not exceed the amount you paid to Trovve in the 12 months preceding the event giving rise to the claim
  • If you have not paid anything to Trovve, our total liability shall not exceed $100 USD

These limitations apply even if Trovve has been advised of the possibility of such damages.


Indemnification

You agree to indemnify and hold harmless Trovve, Inc., its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from:

  • Your use of the service
  • Your violation of these terms
  • Your violation of any applicable law
  • Content you create, upload, or share through Trovve

Termination

You may terminate your account at any time by canceling your subscription from your account settings. Upon cancellation:

  • Your subscription remains active until the end of the current billing period
  • After that, your account switches to read-only mode
  • Your data is retained for 90 days in read-only mode, then permanently deleted (see Privacy & Security page for details)

Trovve may terminate or suspend your account if:

  • You violate these terms
  • Your use of the service poses a security risk to other users
  • Your account has been inactive for more than 12 months
  • We are required to do so by law

If Trovve terminates your account, we will provide reasonable notice and an opportunity to export your data, unless termination is required immediately due to a security threat or legal obligation.

If Trovve discontinues the service entirely, we will provide at least 90 days notice and assist with data export.


Changes to these terms

We may update these terms from time to time as the service evolves. When we make changes:

  • Minor changes (clarifications, formatting) take effect immediately
  • Material changes (pricing, data handling, liability) will be communicated at least 30 days in advance via email or an in-app notification
  • Continued use of Trovve after the effective date of changes constitutes acceptance of the updated terms
  • If you don't agree with a material change, you may cancel your account before the change takes effect

We will always post the current version of these terms at trovve.com/terms with the date of the last update.


General

  • Governing law — these terms are governed by the laws of the State of Florida, United States, without regard to conflict of law principles.
  • Disputes — any disputes arising from these terms or your use of Trovve shall be resolved through binding arbitration in Broward County, Florida, except that either party may seek injunctive relief in court.
  • Entire agreement — these terms, together with our Privacy & Security page, constitute the entire agreement between you and Trovve, Inc. regarding your use of the service.
  • Severability — if any provision of these terms is found to be unenforceable, the remaining provisions remain in full effect.
  • No waiver — failure by Trovve to enforce any provision of these terms does not constitute a waiver of that provision.
  • Assignment — you may not assign or transfer your rights under these terms without our written consent. Trovve may assign its rights and obligations in connection with a merger, acquisition, or sale of assets.
